Terms & booking conditions

The contract between you and us: what is included, how to pay, and what happens if plans change.

Last updated: [DATE]. This is a draft — have a lawyer review it.

The contract

Your booking is with [LEGAL COMPANY NAME], registered in Mongolia under number [REGISTRATION NUMBER]. A contract exists once we confirm your booking in writing and you have paid the deposit.

Prices and what they include

Prices are per person in US dollars and cover exactly what the "What's included" list on each tour page says. Anything not on that list — most commonly international flights, visas, travel insurance, alcohol and tips — is not included.

We may adjust a quoted price before you pay the deposit. After that the price is fixed, unless a government changes a tax or a fuel surcharge is imposed, in which case we will show you the calculation.

Paying

A deposit of [X]% confirms your place. The balance is due [X] days before departure. If we do not receive the balance by then we may treat the booking as cancelled.

If you cancel

Cancellation charges, counted from the day we receive your notice in writing:

  • more than [60] days before departure: [deposit only]
  • [60]–[30] days: [50]% of the total
  • fewer than [30] days: [100]% of the total

This is why we ask everyone to hold travel insurance.

If we cancel

We may cancel a departure that does not reach its minimum group size, and we will tell you at least [30] days beforehand. You may then take an alternative date, an alternative trip, or a full refund. We will not be liable for flights or other arrangements you booked separately, which is again why insurance matters.

We may also cancel for reasons outside our control — extreme weather, border closures, civil unrest, epidemic. In those cases we refund what we can recover from our suppliers.

Insurance

Travel insurance covering medical treatment, evacuation and cancellation is a condition of travelling with us. Parts of Mongolia are many hours from a hospital.

Your responsibilities

You are responsible for holding a valid passport and any visa you need, for telling us about medical conditions that affect your travel, and for behaving in a way that does not endanger or seriously distress others. We may end someone's trip for behaviour of that kind, without a refund.

Complaints

Tell your guide at the time — most things can be fixed on the spot. If that does not resolve it, write to [EMAIL] within 28 days of returning.

Law

These conditions are governed by the law of Mongolia.
